Te Haeata/The Opportunity

We are currently recruiting for two Executive Support roles for the Courts and Justice Service Unit and the Civil and Constitutional Unit (working with multiple managers and teams).

Our Executive Support team play a crucial role in supporting the management team and the wider Policy Group.

Your key responsibilities in this role will be, but not limited to:

  • Diary and calendar management including scheduling internal and external meetings
  • Multiple inbox management
  • Coordination of documentation for meetings
  • Travel and accommodation management
  • Booking venues and organising team events
  • Supporting recruitment processes
  • Managing correspondence including that of a confidential nature
  • Appropriate discretion with sensitive and confidential information
  • Supporting the wider Executive Support team with general administration
  • Coordination of reporting
  • Providing secretariat support to internal committees and forums, as needed
  • Contributing to wider process improvements

Ō Pūkenga/Skills And Experience

To be successful in the role you will have:

  • Strong working knowledge of the MS Office suite, ideally including familiarity with MS Teams and SharePoint
  • Excellent time management skills
  • Confidence in working with all levels of management
  • Ability to multitask, reprioritise and triage the day's tasks dependant on the unit's needs
  • Experience working in either an Executive Assistant/Support role or extensive Personal Assistant experience and ready to take the next step in your career

We are looking for applicants who are comfortable in a fast-paced environment, use their initiative and think ahead. The ideal applicant will have excellent prioritisation capabilities and strong interpersonal skills. You will be a great problem solver, adaptable and will have the ability to communicate effectively with a wide range of stakeholders at all levels.

We also have a strong focus on improving access to justice for all users of the justice system and administer legislation relating to the Family Court, family law and legal assistance.

The Civil and Constitutional Unit provides advice on the long-term legitimacy of New Zealand's constitutional foundations, and supports the public service to progress democratic principles, the rule of law, and human rights. We also advise on core civil law matters, such as property rights and contract law.

This role will be based in the National Office although we do support working from home arrangements. We'd be happy to discuss flexibility around hours/days of work.

Utu ā-tau/Salary

The starting slary for the Executive Support role will be between $58,729 and $75,043, depending on skills and experience.
