PMO Systems & Delivery Manager
Douglas Pharmaceuticals
Remote
Why the role matters
Douglas is growing globally, and the projects that drive that growth reach into every part of the business, from manufacturing and quality to regulatory, commercial and finance. How well we deliver them shapes how quickly we can provide high-quality healthcare products to the people who need them.
Reporting to the Chief Transformation Officer (CTO), you will own how the portfolio runs: the tools, the governance, the reporting and the capability of the people delivering it. You will give senior leaders the insight they need to make confident decisions, build frameworks people actually want to use, and lift our delivery maturity, while leading a small team and stepping in to run some of our most complex projects yourself.
How we can work together
This 15-month fixed-term role is available full time or part time. We’re open to shaping the hours around your availability and flexibility preferences, with a minimum of 24 hours per week.
What you'll do
- Own portfolio governance and project lifecycle: project intake, business case, complexity-based tiering, prioritisation, stage gates, close-out and benefits realisation
- Run the PMO systems: Smartsheet (including Control Center and Resource Management), Power BI, as well as develop and implement AI use cases for the PMO team and project processes
- Develop portfolio dashboards and reporting for Steering Committees and senior leadership, define reporting standards and decision-making forums, and drive adherence and visibility
- Keep project data current and trusted across a large, multi-stream portfolio
- Lead PMO maturity improvement, including P3M3 assessment, action plans, and delivery health checks and assurance reviews
- Work with teams across the business including with Engineering, Digital, Quality, Validation, Operations, Supply Chain, Procurement, R&D, Regulatory and Finance to align priorities, resources and budgets
- Continuously improve the project lifecycle and associated tools, processes and systems
- Lead complex or strategically significant projects end to end when needed, modelling the PMO's standards from initiation to close
- Lead, coach and develop a team of project managers and coordinators. Build delivery capability across the PMO and the wider organisation through competency profiles, learning pathways, onboarding and communities of practice
What you'll bring
- Extensive project, programme or PMO roles, including coaching or leading people, ideally in pharmaceutical, biotech or another regulated manufacturing setting (e.g. nutraceuticals, FMCG)
- PMP, PRINCE2, MSP or equivalent certification; a tertiary qualification in Engineering, Science, IT or a related field is preferred
- Working knowledge of GMP environments and capital project delivery (C&Q, IQ/OQ/PQ, CSV) a plus
- Proven experience owning and optimising enterprise portfolio tools; Smartsheet preferred
- A track record of building governance frameworks that people actually use
- Experience building project management capability through training, coaching or accreditation programmes
- Hands-on experience delivering complex, cross-functional projects to desired outcome, on time and in budget
- Clear communication and confidence influencing senior stakeholders
