About The Role
We are seeking a highly capable Business Support Officer to provide operational support to our Operations leadership team and executive support to the General Manager of Operations.
This is a broad, hands-on position at the centre of a busy and complex operation. You will be trusted with a wide range of responsibilities spanning compliance, administration, coordination and document management, and you will be expected to manage competing priorities with pace, accuracy and sound judgement. The role requires someone who is highly organised, self-directed and comfortable operating in an environment where priorities can shift at short notice.
It is an opportunity for a proactive, commercially aware professional to add real value to the operation. Individuals who anticipate needs, identify improvements and take ownership of outcomes will find considerable scope in this position. The role is full-time and based at Wellington Railway Station.
Key Responsibilities
The Business Support Officer provides comprehensive executive support to the General Manager of Operations. Alongside this, the role provides day-to-day business support to the wider Operations leadership team, coordinating meetings, recording accurate minutes and tracking actions through to completion.
The position supports a broad range of operational activity. This includes assisting with compliance activities and maintaining accurate, audit-ready records; coordinating and booking staff medical appointments and managing the associated documentation with appropriate confidentiality; assisting with the coordination around operational training; and creating and maintaining documents to a consistently high standard. Broader administrative duties will arise as the needs of the operation require, and the successful candidate will be expected to pick these up with initiative and pace.
Skills And Experience
- Demonstrated experience in a business support, administration or executive assistant role, ideally within an operational, 24/7 or similarly demanding environment
- Advanced proficiency across Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, Teams and SharePoint
- Excellent time management and organisational skills, with a proven ability to manage multiple priorities to deadline
- Strong initiative and a proactive approach, with the confidence to identify what is required and progress it independently
- The ability to work at pace while maintaining a high standard of accuracy and attention to detail
- High levels of personal integrity and sound judgement, with proven discretion in handling confidential information
- Well-developed emotional intelligence and interpersonal skills, with the ability to build credibility and trust with stakeholders at all levels of the organisation
- Excellent written and verbal communication skills
- A collaborative, team-oriented approach and a willingness to support colleagues as workloads require
- Resilience and adaptability in a changing operational environment
- A demonstrated commitment to safety and to following established processes and procedures
