Description: About the Role

As a Supportive Care Coordinator in our service, you’ll play a key role in providing coordination and administrative assistance across our Counselling, Bereavement and Spiritual Care services, helping ensure patients, and whānau can access timely guidance, information, programmes and resources. The role also supports and coordinates volunteers, builds community connections, and contributes to the delivery of high-quality supportive care services.

Your responsibilities will include:

  • Responding to enquiries from bereaved family members and assessing support needs.
  • Coordinating referrals to appropriate services within Waipuna Hospice and the wider community.
  • Conducting bereavement follow-up calls approximately 10-12 weeks following a patient's death or coordinate these through trained volunteers.
  • Coordinating access to one-to-one counselling, student counsellor services, bereavement groups, Navigating Grief seminars, spiritual care and community support services.
  • Coordinating and supporting bereavement and spiritual care volunteers.
  • Building and maintaining relationships with faith-based and spiritual groups within the community to support patient access to services.
  • Maintaining accurate client records, programme documentation and service resources.
  • Ensuring bereavement, counselling, spiritual care and educational resources remain current and readily accessible.
  • Contributing to continuous quality improvement initiatives and the effective operation of Clinical Services.
  • Demonstrating cultural awareness and a commitment to equitable and inclusive support for all patients, families and whānau.

Skills and Experiences: About You

You’re administratively capable, compassionate, and motivated by purpose.

You know how to coordinate services with genuine human connection, because both matter here.

Our ideal candidate will bring:

  • A minimum of 10 years' administration experience.
  • Strong coordination, administration and booking system skills.
  • Excellent organisational and time management abilities.
  • Intermediate to advanced Microsoft Office skills, including Word, Excel and Outlook.
  • Outstanding verbal and written communication skills and confident communicating by telephone, with the majority of client interactions conducted over the phone.
  • A compassionate, empathetic and professional approach while maintaining professional boundaries. Demonstrated cultural awareness and respect for people from diverse cultural, spiritual and social backgrounds.
  • A commitment to culturally safe practice and equitable access to services.
