The Role
As an Admin Assistant you will play a key role in supporting the day-to-day operations of our Whanganui clinic. This is a varied, hands-on position that combines administration, customer service, and clinical support within a small and collaborative team environment.
You will act as the central point of contact for patients, clinicians, suppliers, and internal teams, ensuring the smooth coordination of clinic activities and delivering an exceptional patient experience. Full training will be provided across our clinical and financial systems.
Patient & Customer Support
- Welcome and support patients via phone, email, and in person.
- Manage patient enquiries, bookings, referrals, and appointment scheduling.
- Ensure patients receive a positive, professional, and supportive experience throughout their journey.
Clinical & Operational Support
- Download and upload data from sleep monitoring devices.
- Clean, assemble, and maintain diagnostic equipment to ensure readiness for patient use.
- Support clinicians and assist with the smooth running of daily clinic operations.
- Assist with processing sales of sleep-related accessories and products.
Administration & Resource Management
- Maintain accurate patient records and clinic documentation.
- Monitor inventory levels and coordinate stock ordering and replenishment.
- Support general administrative tasks and contribute to ongoing process improvements as the service grows.
Please note that responsibilities may evolve as the clinic and services continue to expand.
About You
- Minimum 1 year of experience in office administration or a similar role.
- Strong computer literacy with confidence learning new systems and technology.
- Excellent organisational skills and attention to detail.
- Warm, professional communication style with the ability to build rapport with patients and clinicians.
- Ability to work autonomously, prioritise tasks, and manage competing priorities.
- Positive, proactive, and collaborative approach to work.
- Well-presented and confident engaging with a variety of stakeholders.
- Demonstrated initiative and a willingness to take ownership of tasks.
Desirable
- Previous experience within healthcare, diagnostics, or the MedTech industry.
- Experience using Xero, CRM systems, or patient management software.
