We are a high-performing, values-driven team supporting operations for New Zealand's only dental teaching hospital (affectionately known by our community as the “Dental School”). We are located in a state-of-the-art facility in central Dunedin. The role | Te mahi

You will be part of a supportive and dedicated team, who provide outstanding service and support to our staff and students. You will also provide our patients with care and an outstanding customer experience. Patient Services are responsible for:

  • Keeping dental clinics running smoothly behind the scenes
  • Supporting clinicians providing comprehensive care
  • Supporting and coaching students on their journey
  • Delivering exceptional front-of-house experiences
  • Being part of a collaborative, solutions-focused team
  • Supporting patients on the phone, via email and in person at reception

We are looking for two Clinic Administrators. Each role has a particular area of focus and responsibility. The two portfolios and their specific responsibilities are below.

Specialist Clinic Support

You will take ownership of a clinical specialty (for example: Endodontics, Orthodontics, or Paediatric Dentistry). Key responsibilities include:

  • Coordinate referrals, triage, waitlisting and scheduling for a smooth, end-to-end patient journey.
  • Be the professional first point of contact for patients and whānau, and offer support through often complex treatment journeys with empathy and clarity.
  • Provide proactive support to specialist clinicians and postgraduate students.

Rostering and Clinical Coordination

You will join a team responsible for the effective rostering of students to appointments, allocation of staff, and optimisation of clinical teaching spaces. Key responsibilities include:

  • Timetabling of the Faculties usage of dental chairs; mapping students, patients and supervisors to dental chairs for appointments
  • Support forward planning of teaching clinics in collaboration with academic and clinical leaders.
  • Track training topics to students, ensuring students have optimal training opportunities.
  • Analyse scheduling, utilisation, and workflow to identify improvements and resolve scheduling challenges.

These are full-time (37.5 hours), permanent positions located in Ōtepoti, Dunedin.

The appointment range for these roles are $63,508 to $68,185. Top of the range is $73,640.
