We are seeking an experienced Office Manager to oversee office administration, HR support, project coordination and day-to-day operations in a professional and collaborative environment.

Hebei Dongs Agriculture Development Ltd. is an international investment and development company with operations spanning China and New Zealand. The company is actively involved in property development, aged care investment, business operations, and international project management.

We are seeking a highly organised and proactive Office Manager to oversee daily office operations, support senior management, and coordinate administrative and business functions across multiple projects.

The Opportunity

This is a key position within our New Zealand operations. The successful candidate will ensure the smooth running of the office while supporting management, external consultants, and project teams. The role requires strong organisational skills, attention to detail, and the ability to manage multiple priorities in a dynamic environment.

Key Responsibilities

  • Manage day-to-day office operations and administrative activities.

  • Coordinate schedules, meetings, appointments, and business travel arrangements.

  • Prepare, organise, and maintain company records, correspondence, and documentation.

  • Liaise with external consultants, contractors, legal advisers, accountants, and service providers.

  • Coordinate invoices, payment requests, and administrative support for finance processes.

  • Maintain filing systems and ensure company records are accurate and up to date.

  • Assist with project administration and monitor progress of various business activities.

  • Support the preparation of reports, presentations, and business documents.

  • Coordinate communication between New Zealand operations and overseas stakeholders.

  • Manage office supplies, equipment, and service contracts.

  • Assist senior management with operational and strategic administrative tasks.

  • Ensure office procedures comply with company policies and relevant New Zealand regulations.

Skills and Experience

The ideal candidate will have:

  • At least 3 years of experience in office management, administration, operations, or a related role.

  • Strong organisational and time management skills.

  • Excellent written and verbal communication skills.

  • High attention to detail and problem-solving ability.

  • Experience coordinating multiple stakeholders and managing competing priorities.

  • Proficiency in Microsoft Office applications.

  • Experience with accounting or business systems such as Xero would be advantageous.

  • Ability to work independently and take initiative.

  • Professional and confidential approach to sensitive information.

Language Requirements

  • Fluency in English is essential.

  • Mandarin Chinese language skills are highly desirable due to regular communication with overseas stakeholders.

Qualifications

  • Relevant tertiary qualification in business administration, management, commerce, or a related field is preferred.

  • Equivalent work experience will also be considered.
