Position Description: Marketing and Operations Coordinator
- Part time: Up to 30 hours per week
- Reports to: Executive Director
- Location: Auckland (hybrid), 2x ½ days in office
- Salary: $67,000 to $77,000 full-time equivalent, pro-rated to hours worked. Actual remuneration will be negotiated based on experience and capability.
About Health Coalition Aotearoa
Health Coalition Aotearoa (HCA) is a Te Tiriti-led public health advocacy coalition working to reduce the harm caused by commercial determinants of health in Aotearoa New Zealand. Our Expert Advisory Panels span tobacco and nicotine, alcohol policy, food systems, public health infrastructure, and gambling harm. HCA is a small, agile organisation with a large reach, working at the intersection of evidence, policy, and people.
Purpose of the Role
The Marketing and Operations Coordinator is the organisational backbone of Health Coalition Aotearoa. This is a dual-function role combining strong digital systems and operational capability with marketing, communications, and event delivery. You will keep HCA running with precision and purpose, supporting the Executive Director and the wider team across advocacy, events, stakeholder engagement, and communications functions.
This role suits someone who is equally at home troubleshooting a Microsoft Exchange email configuration and designing a polished policy brief in Canva. You bring systems thinking and people warmth in equal measure, and you thrive in a small, values-driven organisation where no two days are the same.
Key Responsibilities
Visual Design and Brand Collateral
- Asset Creation: Advanced proficiency in Canva to design high-quality professional assets including policy briefs, corporate slide decks, event materials, and comprehensive publications.
- Brand Consistency: Develop and maintain HCA's suite of design templates ensuring brand consistency across all outputs.
- Digital Media: Produce visually engaging social media tiles, digital design squares, and event-specific marketing assets.
- Flagship Publications: Support the production of HCA's flagship publications including the Prevention Brief and State of Prevention Report collateral.
Digital Marketing and Communications
- Email Marketing: Coordinate HCA's email marketing using Mailchimp, including campaign execution, audience management, and performance reporting.
- CRM Management: Manage stakeholder data and relationships in Salesforce CRM and support the transition or integration of new data where relevant.
- Web & Calendar: Oversee website content updates and maintenance, ensuring HCA's digital presence is current and accurate, while coordinating the digital communications calendar.
Event Management and Webinar Production
- Event Coordination: Lead full-lifecycle event coordination including managing external suppliers (catering, venues), coordinating guest speakers, and building detailed run sheets.
- Registrations: Set up and manage event registration pages via Eventbrite and LilReggie.
- Webinar Production: Set up, host, and manage large-scale virtual events and webinars using Zoom, coordinating AV and digital requirements across online, hybrid, and in-person events.
- Frameworks & Kaupapa: Develop and maintain event templates, briefing documents, and post-event reporting frameworks, ensuring all events reflect HCA's kaupapa.
Operations and Systems
- IT & Microsoft 365: Manage and maintain HCA's Microsoft 365 environment including Exchange email administration, back-end configuration, user setup, and day-to-day IT troubleshooting.
- File Management: Administer OneDrive and SharePoint for organisational file management and team collaboration.
- Security: Manage Dashlane for organisational password security, including onboarding new team members and maintaining credentials.
- HR Logistics: Lead end-to-end onboarding and offboarding procedures for incoming and outgoing team members.
- Network Support: Support member management and stakeholder engagement, ensuring excellent service delivery to HCA's coalition members and expert panel network.
- Process Improvement: Identify and implement operational improvements that keep a lean, agile organisation running efficiently.
Stakeholder and Relationship Coordination
- Database Maintenance: Maintain and grow HCA's contact database ensuring records are current and accurately segmented across CRM platforms.
- Secretariat Support: Coordinate member communications on behalf of the Executive Director, including managing incoming enquiries and requests.
- Relationship Management: Support relationship management across HCA's expert panels, funders, coalition members, and external partners.
Skills and Experience
Essential
- Approximately five years of experience in a combined marketing, communications, or operations role within a not-for-profit, advocacy, health, or for-purpose organisation.
- Advanced proficiency in Microsoft 365, including Exchange email administration, back-end configuration, OneDrive, SharePoint, Word, Excel, and PowerPoint.
- Advanced proficiency in Canva for design, template production, and publication layout.
- Hands-on experience with Mailchimp for email marketing campaign execution and audience management.
- Experience with HubSpot CRM and/or Salesforce for stakeholder data and relationship management.
- Experience with Eventbrite and LilReggie (or equivalent event registration platforms).
- Proficiency in Zoom for setting up and hosting large-scale virtual events and webinars.
- Proven full-lifecycle event coordination experience, including supplier management, run sheets, and logistics.
- Experience supporting onboarding and offboarding processes in a small organisation.
- Experience supporting a member-led or coalition organisation with strong stakeholder engagement.
- Excellent written communication skills with the ability to produce polished, on-brand content independently.
- Strong organisational skills and the ability to manage multiple workstreams simultaneously.
