Administration & Accounts Coordinator (Part Time)

Drainways is seeking a capable and details focused Administration & Accounts Coordinator on a part time permanent basis (20 hours per week) to take ownership of the day-to-day financial administration and office coordination of the business.
This is a pivotal role supporting the smooth running of operations, with a strong emphasis on Xero-based accounting, financial accuracy, and reliable administrative support across projects.
This position is well suited to someone who takes pride in getting things right and thrives in a practical, hands-on environment.

Key Responsibilities
Accounting & Financial Management
- Manage all day-to-day accounting in Xero
- Accounts payable and receivable management
- Debtor follow-up and cashflow awareness
- Weekly payroll and PAYE processing
- Bank reconciliations and financial record accuracy
- Preparation of monthly accounts package for the accountant
Project & Operational Support
- Support invoice processing and cost allocation via Procore
- Assist with project financial tracking and reporting
- Ensure claims are issued within required timeframes
Compliance & Records
- Maintain records for plant, equipment, licences and training
- Coordinate certifications and ensure audit-ready documentation
Office Coordination
- Manage office supplies, PPE and uniforms
- Process timesheets and provide general admin support
- Coordinate external services and maintain organised systems
What We're Looking For
- Strong, recent experience using Xero
- Solid understanding of accounts payable & receivable, bank reconciliations, NZ payroll and PAYE obligations
- Experience in construction, civil or trades environment desirable
- Exposure to Procore or similar project systems
- Understanding of job costing or project-based work
- Experience supporting compliance systems
- High level of accuracy and attention to detail
- Ability to manage deadlines and prioritise effectively
- Clear, practical communication style
