What this opportunity involves: As a Concierge/Experience Ambassador at JLL, you'll be the vibrant heartbeat of our Auckland workplace, creating exceptional experiences for clients, employees, and visitors from the moment they arrive. Working closely with the Workplace Manager and Guest Experience Lead, you'll blend outstanding hospitality with operational excellence—managing everything from front-of-house services and event coordination to vendor oversight and facility operations. This dynamic role goes far beyond traditional reception duties; you'll be actively engaging with stakeholders at all levels, orchestrating memorable events, and ensuring our workplace runs seamlessly. At JLL, we are collectively shaping a brighter way for our clients, ourselves, and our fellow employees, and as an Experience Ambassador, you'll play a central role in bringing that vision to life every day. You'll also provide crucial support during emergency situations, manage IT assets, oversee procurement processes, and ensure our facilities meet the highest safety and operational standards. With 24/7 emergency call support responsibilities and the opportunity to work autonomously, no two days will be the same in this engaging, multifaceted position.
An overview of the role: Deliver warm, professional greetings and manage comprehensive reception services including visitor badges, meeting room bookings, guest escorts, onboarding logistics for new starters (access badges, parking, inductions, lockers, laptops), and all incoming calls and mail distribution
Coordinate workplace events alongside the Experience Ambassador and executive assistants, from ordering catering through client PO systems to organizing room setups, managing calendar invites, and ensuring all health and safety requirements are met
Maintain consumables inventory through regular stocktakes, conduct daily site walkthroughs to ensure client zones remain organized and clutter-free, and proactively update front-of-house documentation via OneNote and SharePoint
Manage vendor relationships and IT hardware assets to ensure service delivery meets quality standards, timelines, and budget requirements while adhering to client procurement guidelines, JLL best practices, and accurate asset tracking procedures
Implement and maintain JLL's Operational Risk Management (ORM) program, monitor building operations, recommend continuous quality improvements, ensure Critical Environment Management (CEM) requirements are met, and be available for 24/7 emergency call support and site attendance

Strong administrative and organizational skills with proven ability to manage multiple complex operational matters simultaneously while meeting tight deadlines in rapidly changing situations
Knowledge of local occupational health and safety requirements with the ability to ensure compliance across all workplace activities, including emergency response procedures and business continuity planning
Excellent communication skills including strong verbal and written abilities, active listening, and confidence presenting to diverse audiences—because we believe the most effective teams are built when everyone is empowered to thrive
Self-motivated team player who exhibits a can-do attitude, works autonomously and efficiently, demonstrates honesty and trustworthiness, and builds effective relationships while remaining flexible, adaptable, and goal-oriented in balancing client and firm requirements
