Presbyterian Support is one of the largest providers of social and health services in New Zealand. Our East Coast team is made up of over 220 staff and 100 volunteers across our services, which include Enliven and Family Works in Hawke's Bay and two charity shops.

Family Works is looking for a proactive, organised and enthusiastic office administrator to provide support across a range of office functions.

You will manage daily administrative tasks, develop and maintain efficient office systems, and create a well-presented and welcoming office environment for our clients and community.

Part-time | 22.5 hours per week – Wednesday to Friday 8:30am – 4:30pm

The ideal candidate will have outstanding people skills, strong IT skills, including proficiency in Microsoft Office and Client Management systems, experience working in an office environment and a strong commitment to bicultural practice and development. Excellent communication, customer service and organizational skills are essential as is the ability to work independently and as part of a team.

You will:

  • Greet and welcome clients and stakeholders who visit our offices with warmth, enthusiasm and professionalism, and deliver exceptional customer service to both internal and external stakeholders.
  • Answer and direct phone calls in a professional and courteous manner.
  • Ensure incoming service referrals are accurately entered on the Client Management system.
  • Ensure all invoices payable are coded correctly, signed off for payment and referred to the finance department within necessary timeframes.
  • Manage office repair and maintenance schedules, including compliance of fleet vehicles, and Fire Safety and Security.
  • Assist with a range of administrative tasks, including management of petty cash and petrol vouchers, management of staff training and other compliance records, and supporting the Service Manager with annual Health and Safety documentation.
  • Support onboarding / offboarding of staff, induction processes, inventory and stock management processes as well as a range of other data entry activities.
  • Manage the reception and wider office environment and ensure that it is always well-presented.
  • Provide administrative support to the wider team, assisting with ad-hoc tasks as required

  • To be a proactive team player with outstanding interpersonal skills, strong attention to detail, and the ability to communicate effectively with a diverse range of people.
  • To be methodical, organised and flexible in approach with the ability to plan, organize and prioritize workload to manage deadlines.
  • To have an understanding of tikanga Māori, and genuine commitment to bicultural practice and ongoing cultural development.
  • To have a strong focus on organizational Health and Safety and be an active leader of the Health and Safety committee.
  • To be highly self-motivated and have a willingness to pitch in wherever needed, along with flexibility to cover the other administrator from time to time.
  • Previous experience in administration and customer service is advantageous, but attitude and alignment with our values are what matter most
