MadeIT Consulting Ltd is a New Zealand-owned technology consulting business specialising in business intelligence, data warehousing, data analytics and data visualisation solutions. The company supports clients by combining technology, software training and practical data advice to help improve business decision-making.
We are seeking an organised and proactive Office Manager to oversee the day-to-day administration and operational coordination of our Hamilton office.
Key Responsibilities
- Manage the daily administration and general operation of the office.
- Coordinate office procedures, records, filing systems and document control processes.
- Support the preparation of proposals, client documents, service agreements, reports and internal correspondence.
- Assist with invoice processing, purchase orders, expense records, supplier communications and basic financial administration.
- Coordinate meetings, staff schedules, travel arrangements, training sessions and internal events.
- Maintain office supplies, equipment, IT-related service arrangements and workplace facilities.
- Act as a first point of contact for general client, supplier and business enquiries.
- Assist with onboarding administration, employee records, leave tracking and recruitment coordination.
- Support management with internal reporting, workflow tracking and business administration requirements.
- Help maintain a professional, efficient and well-organised office environment.
- Assist with compliance-related administration, including health and safety records, policies and company documentation.
- Provide general executive and operational support to senior management as required.
Skills and Experience Required
- At least 2–3 years of relevant office administration, office management, business support or operations coordination experience.
- Strong organisational skills and the ability to manage competing priorities.
- Experience with invoicing, supplier coordination, document preparation and general business administration.
- Confident use of Microsoft Office, including Word, Excel, Outlook and Teams.
- Experience using cloud-based systems, CRM platforms, accounting software or project management tools would be an advantage.
- Strong written and verbal communication skills.
- High attention to detail, sound judgement and the ability to handle confidential information appropriately.
- Ability to work independently while supporting a small professional team.
- Previous experience in a technology, consulting, professional services or project-based business would be beneficial.
Qualifications
A diploma or bachelor’s degree in business administration, management, accounting, operations, commerce or a related field is preferred, although relevant practical experience will also be considered.
