We are searching for a proactive and highly organised Business Administrator to provide high-level quality support to our Directors. This will be a Fixed-Term contract of upto 12 months starting in July to cover parental leave and will be based from our Hamilton office.

In this role you will be providing proactive, high quality administrative support to the assigned Directors. While this role will have elements of core PA duties, you will be working across the wider Sector group to provide a variety of administrative duties that ensure that our Sector Directors continue to deliver quality results to our clients and industry partners. This position will work as part of our Business Support team based in Hamilton and will also provide assistance for office related tasks.

This is a dynamic role suited to someone who enjoys building relationships, managing multiple priorities, and contributing to a collaborative team environment.

In this role you will demonstrate a sound work ethic, strong communications skills, ability to work in an exciting but ever-changing environment as well as a positive attitude.

Kei te hiahia mātou ki ōu | What you'll be doing

  • Building strong working relationships with Sector Directors, their teams, and key stakeholders across the business.
  • Promoting collaboration and contributing to a positive, high-performing team culture.
  • Supporting strategic priorities through research, information gathering, and preparation of background materials.
  • Delivering high-quality administrative support, including diary and email management, meeting coordination, minute taking, action tracking, document formatting, and travel logistics.
  • Managing day-to-day administrative processes, including expense management and related reporting.
  • Coordinating internal and external events and ensuring their successful delivery.
  • Working closely with Client Managers to prepare professional, brand-aligned presentations and documentation.
  • Acting as a liaison with key clients and Executive Assistants, maintaining strong relationships and networks across the business.
  • Anticipating team needs, influencing outcomes, and providing solutions-focused support.
  • Co-ordinate general administration and organisation of team e.g. team meeting agendas and action logs minutes, team planning, social events, catering requests, conference papers and professional memberships as required.
  • Managing competing priorities and responding effectively to changing demands while maintaining a calm and professional approach.
  • Coordinating travel, accommodation, and associated logistics as required.
  • Supporting wider Business Services activities, including staff onboarding, client functions, and employee events.

  • Exceptional communication and organisational skills, with a strong commitment to professionalism and attention to detail.
  • Advanced proficiency across the Microsoft Office suite, particularly Outlook, Word, PowerPoint, and Excel.
  • Strong business acumen, adaptability, and the ability to quickly learn new systems and processes.
  • Experience preparing, analysing, and interpreting business and financial reports; financial literacy will be highly advantageous.
  • A high level of integrity, discretion, and personal initiative.
  • Excellent collaboration and relationship-building skills, with the ability to develop strong networks across a diverse organisation.
  • A proactive, solutions-focused approach and the ability to manage multiple priorities in a fast-paced environment.
