People & Operations Associate
Data Insight
We are looking for an organized, detail-oriented People & Operations Associate to provide essential administrative and operational support across the business. This is a fantastic opportunity for someone who thrives on creating order, managing processes, and supporting teams to do their best work.
You will support a dynamic data and AI consulting environment, acting as the go-to person for administrative excellence and ensuring smooth operations across recruitment, onboarding, training administration, reporting, and day-to-day business support.
This role is ideal for someone early in their career or someone returning to the workforce who is eager to learn, loves systems and processes, has an interest in AI and wants to build a strong foundation in business operations. You'll work closely with the whole team, gaining valuable experience in a fast-paced, growth-oriented environment.

Key Responsibilities
Administrative Excellence
- Manage calendars and scheduling for leadership team
- Prepare meeting agendas, take minutes, and track action items
- Coordinate travel arrangements and events
- Manage office supplies and vendor relationships
- Process invoices and expense claims
- Maintain filing systems, documentation, and databases
People Operations
- Support recruitment processes including recruiter liaison, posting jobs, scheduling interviews, and coordinating communications
- Coordinate reference and background checks
- Prepare employment contracts and onboarding documentation
- Maintain employee database, leave records, and HRIS data
- Support payroll processes with monthly updates
- Coordinate performance review schedules and documentation
Training Coordination
- Schedule training sessions
- Track certification progress and expiry dates
- Prepare training materials and resources
- Coordinate with external training providers
Business Support
- Compile data for weekly and monthly reports
- Support board report preparation
- Maintain project tracking spreadsheets
- Coordinate client feedback surveys
- Assist with proposal formatting and submission
- Support quality assurance and compliance activities in relation to ISO
What You Will Bring to This Role
• General business or HR qualifications
- 2-5 years' experience in HR, administration, coordination, or operations support
- • Exceptional organizational skills and meticulous attention to detail
- • Strong written and verbal communication abilities
- • Ability to manage multiple tasks simultaneously and prioritize effectively
- • Positive, can-do attitude and team-focused mindset
- • Comfortable working in a fast-paced, dynamic environment
- • Proficiency with Microsoft Office (Excel, Word, PowerPoint, Teams)
- • Quick learner who is comfortable with new systems and technology
- • Desire to learn and grow professionally
Nice to Have
• Experience in professional services, consulting, or tech environment
Experience with ISO certification
• Familiarity with google workspace, HRIS systems, project management tools and CRM
• Interest in data and analytics
