Our purpose-built Early Learning School is looking for a Centre Administrator to join the team. Join our Centre for a permanent, part-time 4 Days per week - 8am - 1pm (20 hours per week) position from July 2026!
KEY RESPONSIBILITIES
Reception & Customer Service
- Act as the first point of contact for families and visitors; deliver a professional, warm and responsive front-of-house experience
- Manage phone, email and in-person enquiries; support prospective families through the enrolment journey and ongoing communication
Enrolment Administration
- Coordinate enrolment onboarding, documentation and updates, ensuring a smooth and positive experience for families
- Maintain accurate, up-to-date records in line with Ministry of Education compliance requirements
Attendance & Rostering
- Maintain staff rosters and ensure daily attendance records are accurate and up to date
- Monitor absences and produce reporting to support funding requirements and operational planning
Funding & Compliance
- Prepare and submit MOE funding returns and monthly ELI submissions in a timely and accurate manner
- Maintain compliant documentation, displays and filing systems to meet licensing and regulatory standards
Finance Administration
- Manage fee invoicing processes and monitor aged debtors, following up outstanding accounts professionally
- Provide support across general financial administration tasks as required by the centre
Operations & Administration Support
- Coordinate ordering and maintenance of supplies, and manage training records including first aid refreshers
- Provide administrative support to the Centre Manager and contribute to smooth day-to-day operations
General Responsibilities
- Handle all child, family and staff information with a high level of confidentiality and professionalism
- Build positive relationships and contribute to a welcoming, organised and high-performing centre environment
THE IDEAL CANDIDATE WILL HAVE
Skills And Experience
- 2–4+ years’ experience in administration, reception or early learning/education settings
- Strong front-of-house customer service and stakeholder engagement skill
- Experience managing enrolments and family enquiries
- High-level administrative accuracy and attention to detail
- Confident using CMS platforms (e.g. Xplor, Qikkids) and Microsoft Office\
- Ability to manage multiple priorities in a fast-paced environment
- Exposure to compliance, funding or regulated environments
- Basic finance experience (invoicing, debtors, reporting) desirable
