Executive Assistant

We're looking for an Executive Assistant to the Regional Manager of the Wellington Region Emergency Management Office (WREMO) to join our dedicated and friendly team. This a 12-month fixed term role, based in our Thorndon office.

About the role

WREMO leads and coordinates Civil Defence Emergency Management across the Wellington region's nine councils. As Executive Assistant to the Regional Manager, you'll provide high-level confidential support to the Regional Manager and WREMO leadership team. You will also develop and maintain the administrative systems and services that help the office run smoothly.

This is a high-trust role where integrity, discretion and sound judgement are essential. You'll actively manage calendars and inboxes, coordinate meetings and events, support travel and appointments, prepare and circulate actions and minutes, and help maintain effective systems and processes across WREMO.

In an emergency event, you'll support the Group Controller and/or Regional Manager in the regional Emergency Coordination Centre, performing the Controller's Assistant role and supporting the transition into recovery when required. The work can be fast moving and dynamic, but you'll be part of a hardworking, collegial team where relationships, professionalism and a sense of fun are valued.

Skills and experience required

  • Proven track record in an executive assistant role, ideally at a senior level, or equivalent experience;
  • A high degree of integrity and discretion, with the ability to manage confidential information and build trust at executive level;
  • Excellent interpersonal skills, with the ability to communicate clearly and professionally with a wide range of people at all levels;
  • Strong relationship-management skills and the ability to work collaboratively across teams and with internal and external stakeholders;
  • Superb time-management and organisational skills, including the ability to manage competing demands, prioritise effectively and anticipate needs;
  • Technologically savvy, with confidence using and supporting systems such as SharePoint, Ngātahi (TechOne), Microsoft Teams, PowerPoint and the Microsoft Office suite;
  • Experience coordinating meetings, events, logistics, action items and minutes, including supporting senior leaders and governance-related activity where required;
  • Financial administration experience, such as purchase orders, purchasing card receipts, expenses, accruals and reconciliations; and,
  • Capability in te ao Māori in line with Greater Wellington's Māori Capability Framework, or a commitment to developing this capability.

The remuneration for this position, inclusive of all benefits, is $85,678 to $128,517, with a midpoint of $107,098. Starting remuneration will depend on the skills and experience of the successful applicant.
