He angitūtanga | About the role

We’re looking for a highly organised and motivated Personal Assistant to support the Director of Biodiversity National Programmes, Biodiversity, Heritage and Visitors Group. This role sits within Biodiversity National Programmes, with a strong focus on Predator Free 2050, Wild Animals, Predator Control and Kauri protection — a dynamic and evolving area of work led by passionate people committed to making a real difference to conservation in NZ.

The work sits at the intersection of policy, operations and Ministerial engagement. It is a politically dynamic environment where strong coordination, sound judgement and follow‑through are essential.

Based at Conservation House in Wellington, this full‑time role is central to how the directorate operates. As the Director’s key support person, you’ll provide high‑quality personal assistant support while also helping maintain visibility across work programmes — tracking actions, supporting reporting cycles, and keeping work moving across a busy and collaborative leadership group.

This is a fast‑paced role that suits someone who enjoys variety, understands priorities can shift quickly, and takes pride in helping others operate at their best.

The position will be focussed on

  • Providing personal assistant support to the Director, including diary and email management, travel coordination and meeting preparation
  • Coordinating and quality‑assuring correspondence, including Ministerial, Parliamentary and OIA material
  • Supporting oversight of directorate work programmes by tracking actions, milestones and review points
  • Coordinating meeting logistics, preparing papers, taking minutes and following up actions
  • Building strong working relationships across the directorate and with support staff
  • Managing sensitive information with discretion and sound judgement
  • Anticipating upcoming priorities to help the directorate operate smoothly

Ngā pūkenga me ngā wheako | Skills and experience

To succeed in this role, you’ll bring:

  • Proven experience in executive support, personal assistant or a similar administrative role
  • Strong coordination skills and the ability to manage multiple tasks and shifting priorities
  • Excellent communication and relationship‑management skills
  • A proactive approach to managing workflows and anticipating needs
  • Intermediate to advanced Microsoft Office capability (Outlook, Word, PowerPoint; Excel and Copilot an advantage)
  • An understanding of, or willingness to learn, central government and Ministerial processes
  • Confidence coordinating meetings, taking minutes and tracking actions

Desirable

  • Experience supporting senior leaders in a government or politically aware environment
