The part you'll play and why it matters
This role sits at the centre of how Docuvera presents itself to customers, partners, and auditors when the stakes are high. As our Bid/Response Coordinator, you’ll own the end-to-end process for RFIs, RFPs, security questionnaires, vendor due diligence requests, and other complex customer submissions. You’ll be the person who brings structure to fast-moving, cross-functional work, coordinating timelines, drafting responses, managing contributors, and making sure submissions go out accurate, cohesive, and on time.
This isn’t a ‘copy and paste’ proposals role, and it’s not an administrative coordinator position that chases people for updates. AI and automation are changing how response management works, and we already use AI-assisted workflows heavily across our tooling and drafting process.
What matters here is your judgement and desire/ability to be in continual learning mode about our solution; knowing how to structure work, curate the right information, apply critical thinking, identify inconsistencies, recommend improvements, and help turn fragmented inputs into clear, defensible customer responses.
You’ll work across Commercial, Security, Engineering, Quality, Marketing, Finance, and Leadership teams, helping to continuously improve how we manage and reuse knowledge while reducing disruption to SMEs.
What this might looks like
On any given week, you might be triaging a new enterprise security questionnaire, supporting a go/no-go conversation with stakeholders, drafting non-SME response sections using approved AI-supported workflows, coordinating SME input from a variety are areas across the company, managing review cycles, or preparing a final submission for sign-off.
You’ll maintain the systems and conventions that keep our response content usable and trustworthy across platforms like Vanta, Confluence, SharePoint, Slack, and approved AI tooling.
You’ll also help reduce manual work by introducing lightweight automations and improving how information flows between systems.
This role is not about being the deepest technical SME in the room. You need enough technical literacy and operational discipline to understand what you’re reading, identify when something feels inconsistent or incomplete, and route the right questions to the right people early.
You’ll also be naturally comfortable driving momentum, escalating risks early, and holding timelines together across busy SMEs and senior stakeholders.
What you'll bring to the table - beyond just coordinating responses
You’ll bring experience coordinating or managing RFPs, RFIs, vendor questionnaires, security reviews, or customer due diligence processes in a SaaS, technology, regulated, or compliance-heavy environment.
Technical experience in regulated SaaS environments, life sciences, healthcare, financial services, security, GRC, quality, or audit-related customer assurance work would be highly valuable, but not essential.
You’ll be able to effectively turn multiple contributor inputs into a single response that feels consistent, clear, and credible. You’ll also be experienced and comfortable working with technical and compliance-oriented content, whether that relates to SOC 2, ISO 27001, SaaS architecture, quality systems, CSV, regulatory environments, or customer assurance workflows.
Equally important is how you operate. This role requires someone who communicates directly, collaborates well across functions, roles, titles, and cultures, and takes ownership without ego. Someone who can push work forward independently while still bringing people along with them.
