Our context
Much of New Zealand's electricity is generated from renewable energy sources (primarily hydro, and increasingly, wind and solar) located in remote areas. Essential to powering our country, the HVDC link connects the transmission grid between the North and South Islands and plays an increasingly important role in balancing intermittent renewable generation across both islands.
The HVDC Upgrade Programme (HVDC Project) aims to replace the three existing high-voltage direct current cables that connect the North Island and South Island power transmission systems with like-for-like cables by 2032, while also installing a fourth cable of the same type. In addition to replacing the cables, a further six projects make up the overall programme of works. The key objectives are to provide value to electricity users and ensure the works are:
- Fit-for-purpose, particularly with respect to coordinating with technology to provide 40 years of reliable service
- Commissioned with minimal impact on the electricity market
The opportunity
In this role, you’ll be responsible for the end-to-end management of technical and commercial project information, both internally within the project team and externally with suppliers and vendors. You’ll ensure documentation is received, reviewed, issued, stored and traced in a controlled and auditable manner, supporting effective decision-making, quality outcomes and on-time delivery.
We’ll encourage you to design, implement and continuously improve internal document storage, numbering and traceability systems, ensuring the project maintains a single source of truth throughout the project lifecycle.

You’ll reduce delivery risk associated with information control by enabling effective assurance, audit readiness and contractual compliance through reliable document traceability.
What will you bring?
Curiosity about the HVDC Upgrade Programme! You’ll demonstrate sound judgement and professional integrity, including maintaining confidentiality, applying access controls appropriately, and handling sensitive commercial information with care.
You’ll be known for your relationship management ability, organisational skills, and astute ability to apply structured processes consistently. A whizz at prioritisation, you’ll be diligent in following up reviewers and suppliers to meet turnaround times
To be considered, your CV and cover letter will demonstrate:
- Confidence using document management systems or structured repositories (e.g. EDMS/SharePoint) and Microsoft Office, especially Excel for registers, reporting and status tracking
- Document control or records management experience in a project or delivery environment (including correspondence, transmittals, registers, archiving/retention and handover records)
- Strong attention to detail managing technical and commercial documents, including version control, naming conventions, status (draft/approved/superseded), approvals and auditable traceability
- Clear written communication to coordinate document exchange and manage risks and issues (including missing deliverables, overdue reviews and non-compliant submissions)
- Demonstrated ability to produce accurate register reporting (overdues, status by package/supplier, turnaround times) and improve document control processes
- A relevant tertiary qualification e.g. document management, information management, business administration or project support
While not essential, the following is advantageous:
- Experience using an engineering or construction EDMS (e.g. Aconex, TeamBinder, Documentum), including distribution matrices and workflow configuration
- Familiarity with documentation requirements across project lifecycle phases (FEED, detailed design, procurement, construction, commissioning and handover), and experience managing supplier document interfaces e.g. MDRs, transmittals, correspondence
- Experience compiling close-out documentation (as-builts, commissioning/test records, handover packs) and contributing to continuous improvement of document control practices including templates, workflows and guidance
