Despatch Coordinator

Are you an organised, detail-driven coordinator who thrives in a fast-paced logistics environment? Hynds is looking for a Despatch Coordinator to join our North Island team based in Pokeno.

About The Role

This is a key operational role responsible for coordinating direct customer and branch deliveries from our Distribution Centre. You'll manage North Island shipments, liaise with transport carriers, and ensure orders are dispatched efficiently and accurately. You'll be the central point of contact between customers, drivers, carriers, and internal teams – keeping everything moving smoothly.

What You'll Be Doing

• Coordinating concrete replenishment orders to North Island branches by route
• Receiving and managing direct-to-site customer orders
• Consolidating and optimising loads to maximise carrier utilisation
• Maintaining booking calendars and ensuring visibility across departments
• Communicating delivery times and variations to customers and sales staff
• Processing accurate documentation in M3 (ERP system)
• Checking and authorising invoices against carrier rate cards
• Coordinating customer returns on backloads where possible
• Supporting stock control and participating in site stocktakes
• Maintaining rate cards and contact details for transport providers

What You'll Bring

• 2–5 years' experience in a despatch, logistics, or similar coordination role
• Strong computer skills including Outlook, Excel, and an ERP system (M3 preferred)
• High attention to detail and ability to juggle multiple priorities under pressure
• Excellent communication and customer service skills
• A collaborative, team-first attitude with a reliable and flexible approach
• A solid understanding of health and safety standards
