The Cancer Society’s mission is to improve community wellbeing by reducing the incidence and impact of cancer in Aotearoa, New Zealand. We are here for everyone, no matter what cancer. The support we provide is broad and includes counselling, transport, accommodation, cancer prevention, research and advocacy to the community in keeping with the concepts and principles of Te Tiriti o Waitangi. As such a high priority is placed on the provision of a welcoming, supportive and friendly environment to people seeking our services.

The Cancer Society recognises the status of Māori as Tangata Whenua of Aotearoa. We will continue to grow our relationships with our Te Tiriti o Waitangi partners, ensuring their voices are heard, and their needs and goals are built into our planning and strategy. Under our Strategic Plan and Equity Charter we are working towards overcoming the inequities facing Māori, Pasifika, and other minority groups disproportionally impacted by cancer throughout Aotearoa.

At a local level Cancer Society Wellington Division is deeply committed to the needs of whānau and have service centres in Wellington, Wairarapa, Marlborough, Nelson/Tasman along with service hubs in the Greater Wellington area of Porirua, Kapiti and the Hutt Valley. We work closely with the communities in these regions to generate funding that allows us to offer these services and plan for the future. CSWD is one of five autonomous divisions that form the federated Cancer Society of New Zealand.

POSITION TITLE: Hub and Volunteer Co-ordinator

REPORTS TO: Cancer Services Team Lead

DIRECT REPORTS: N/A

LOCATION FOCUS Hutt Central, with the flexibility to travel within the Wellington region from time to time.

POSITION PURPOSE

This position supports a Hub and the volunteers based at that hub to build connections and deliver services to our clients and the wider community across our service functions: Information, Case Management, Client Support Services, Advocacy and Manaaki Whanau. The Cancer Services team delivers these services in a manner aligned to our Model of Care. This means these services are delivered:

  • For people and whānau experiencing, or at risk of experiencing, cancer.
  • Flexibly, in a people-focused and whānau-centred manner. • With a focus on achieving equitable outcomes for priority groups, particularly Māori.
  • Either directly, or through partnerships with others across the health sector, within the community, and the wider Cancer Society.
  • In an efficient and effective manner, maximising our ability to support all who would benefit from our services
  • With a continuous improvement mindset, including by sharing appropriate information/data that supports the Cancer Services team and wider Cancer Society to make evidenced based decisions on the services it offers and develops, and contributing to programmes, projects or other initiatives to develop the Cancer Services team functions.

KEY RESPONSIBILITIES

Hub and Team coordination

  • Deliver all front of house duties during Hub opening hours – delegating to other staff or volunteers where agreed with the Team Lead.
  • Welcome all visitors and taking the opportunity to promote relevant and appropriate functions, services and hospitality.
  • Contribute to the day-to-day running of the Hub or Centre, including by supporting other staff and volunteers with their work/clients as required, responding to walk-ins, meeting the relevant SLAs, and participating in team meetings and initiatives as directed by the Team Lead.
  • Contribute to the development of Cancer Services functions, as directed by the Team Leads, and by sharing ideas for development or improvement with the Team Leads.
  • Participate in performance development and other management processes.

Volunteer co-ordination

  • Work with the Team Leads to understand volunteer requirements and responding to these by supporting and/or conducting local induction processes, role definition/expectation setting, orientation, training and allocation of work, and recruitment for volunteers within your Hub.
  • Ensure volunteers are engaged in line with their availability and suitability.
  • Maintain connections with Hub volunteers as their primary point of contact with the Cancer Society, including by building a sense of team, and resolving or escalating any issues that might arise.
  • Complete volunteer administrative/system support in conjunction with Operations team for your Hub. Develop and maintain relationships with volunteer networks locally.

Operations support

  • Complete all Hub administrative duties in line with operations support systems and processes, liaising with others as appropriate.
  • Contribute to the broader day-to-day operations of the Cancer Services Team, including by participating in events, team initiatives, and contributing to the newsletter, and gathering/sharing/recording information/data as necessary.

Manaaki Whanau

  • Pro-actively develop and apply your cultural capabilities to ensure the Hub is a welcoming and culturally appropriate environment for all clients and whānau.

Campaign Support

  • Support the Events Team with coordination of volunteers for fundraising activities e.g. Relay For Life, Daffodil Day, and by supporting or participating in other Community Engagement activity as required.

Region or Nationwide events and initiatives

  • All employees are expected to contribute to events and initiatives as required. This includes attending training or upskilling in relevant areas including cultural competence/capability, attending weekend or evening events from time to time, contributing to projects where you can add value, and being flexible to undertake all reasonable duties as required.

  • People with cancer, and their families/whānau.
  • Health NZ/Te Whatu Ora personnel.
  • Other health/treatment providers e.g. GP Practices, Counsellors. Other/partner agencies working with people with cancer, their families and whānau and/or delivering cancer services including community health providers and Māori health providers.
  • Local volunteering organisations and volunteer networks.
  • Universities, education institutes and large local employers who may be interested in volunteering opportunities.
  • Local sponsors, donors, and media.
  • Local Councils/government.
  • The wider community, and community groups.

PERSON SPECIFICATION

This section indicates the skills, experience, competencies and qualifications we would typically expect someone to have, to perform this position successfully. Equivalent attributes gained through other pathways may be considered case by case. Any essential requirements are specifically stated.

  • At least 2 years administrative or co-ordination experience, preferably within a health or community setting, where skills in organising and prioritising workloads, as well as building relationships with clients, managers, colleagues and members of the community from a range of backgrounds, have been developed.
  • An awareness of the cancer experience and treatments.
  • The ability to be aware of and sensitive to the psychosocial needs of people who are experiencing, are at risk of experiencing, or who have experienced, cancer, including whanau (essential).
  • Cultural awareness and responsiveness to different cultural needs, in particular Māori and Pasifika; experience working with other cultures is preferable.
  • The ability and willingness to adapt to change, including by adopting new ways of working and utilising new technology to support service delivery.
  • The ability to communicate credibly and effectively, both verbally and in writing, to different people or audiences with a range of needs and levels of understanding of the topic.
  • The ability to use systems, processes and technology to support effective and efficient working practices, and to support others to do the same, including intermediate level skills in using the Microsoft Office suite.
  • Current Full New Zealand Driver Licence.
