We are seeking a motivated and professional Office Administrator to support our Waitane site team in a part-time capacity. This is a varied, fast-paced role where you will be the first point of contact for visitors while providing essential administrative, payroll, and recruitment support to site leadership and operational teams.

You will play a key role in ensuring the smooth day-to-day running of the site through front desk coordination, data entry, and administrative support across multiple departments. Shift Pattern

This is a part-time position, 30 hours per week, 6 hours per day, Mon-Fri. Currently 8.30am - 3pm. Please note there is some flexibility.

You will be highly organised, detail-oriented, and confident managing multiple priorities. With strong communication and interpersonal skills, you’ll build positive relationships across all levels of the business and provide a welcoming, professional experience for all visitors and staff.

You’ll bring a proactive attitude, strong administrative capability, and the ability to work both independently and collaboratively in a dynamic environment.

  • Providing professional front desk reception services, including greeting visitors and managing enquiries
  • Coordinating site access and ensuring health & safety protocols are followed
  • Providing administrative and clerical support to managers and operational teams
  • Supporting payroll processes, including timesheet entry and employee data maintenance
  • Assisting with recruitment processes, onboarding, and employment documentation
  • Maintaining records, databases, and internal systems
  • Supporting communication across the site, including daily brief coordination
  • Ensuring accurate record keeping, filing, and document management

Responsibilities

  • Manage and maintain accurate records and databases for the Administration department.
  • Handle incoming calls, emails, and inquiries, providing excellent customer service.
  • Assist with office management tasks, including supply ordering and inventory management.
  • Provide administrative support to the Payroll team during peak periods.
  • Prepare and process various reports and documents as required.
  • Coordinate and organize meetings, events, and travel arrangements for the team.
  • Maintain a professional and organized office environment.
  • Liaise with other departments and external stakeholders as needed.
  • Ensure compliance with company policies and procedures.
  • Perform other ad-hoc administrative tasks as assigned by the management.

Qualifications

  • Minimum of 2 years of experience in an administrative role.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office suite and other relevant software.
  • Attention to detail and ability to work accurately.
  • Ability to prioritize tasks and manage multiple projects.
  • Knowledge of basic accounting principles is an advantage.
  • Familiarity with payroll processes and systems is preferred.
  • A positive and proactive attitude, with a willingness to learn.
  • High school diploma or equivalent qualification.
