What will you do?

We are seeking a Move In Specialist to join our team in Auckland on a 12-month fixed term basis. This role is focused on supporting residents and their families through the transition from contract to move-in, ensuring they feel informed, reassured, and confident every step of the way.

You will act as the central point of connection across residents, families, and village teams, helping to reduce uncertainty, manage expectations, and proactively resolve issues before they become barriers. This is a highly relationship-driven role that requires empathy, sound judgement, and the ability to navigate different perspectives and priorities.

We are ideally looking for someone with experience in the retirement village industry, bringing a strong understanding of the resident journey, key processes, and what great onboarding looks like. We will also consider candidates from healthcare admissions, banking onboarding, real estate or hospitality guest experience backgrounds who can translate their skills into a resident focused environment.

Given this role works across multiple Auckland villages as well as visiting our soon-to-be residents in their homes, a high level of professionalism, presence, and relationship management is essential, with a company vehicle provided to support travel across the region.

Success in this role will come from your ability to build trust quickly, manage sensitive conversations with confidence, and influence outcomes across a range of stakeholders. While process and organisation are important, they are enablers of your ability to deliver a seamless and positive experience.

Key responsibilities include

  • Build trusted relationships and guide residents through the move-in journey Lead the delivery of a high-quality move-in experience, ensuring residents and their families feel welcomed, supported, and confident from arrival through to settling in
  • Act as the central point of connection across stakeholders Work closely with residents, families, Sales Advisors, and village teams to align expectations, manage differing priorities, and ensure a smooth transition to move-in
  • Proactively identify and resolve risks to move-in outcomes Anticipate and address issues early, particularly those that could impact resident confidence, timelines, or settlement, and take ownership of driving resolution
  • Balance resident experience with commercial and operational outcomes Maintain strong awareness of timelines and business priorities, working to ensure move-ins occur on time while protecting the quality of the resident experience
  • Set and uphold high communication standards Ensure all interactions with residents and families are clear, professional, and empathetic, particularly during sensitive or uncertain moments in the journey
  • Manage supporting partners to enhance the resident experience Coordinate selected external vendors and service providers, ensuring quality, consistency, and value in line with resident expectations.

What We Are Looking For

  • Proven experience in a customer facing coordination, operations, or service delivery role
  • Strong preference for experience within the retirement village industry, with a solid understanding of the resident journey into a retirement village, processes, and onboarding approach
  • Highly organised with the ability to manage multiple moving parts with ease
  • Clear and confident communication style, building trust across a wide range of stakeholders
  • Professional, friendly, and polished, with the ability to represent the business across multiple villages
  • Commercially minded, balancing customer experience with operational outcomes
  • Task-oriented and driven, with a strong focus on delivery and meeting timeframe
  • Energetic and proactive, bringing momentum and ownership to the role
  • Experience working with external vendors or suppliers is advantageous
