Assemble Recruitment has partnered exclusively with a New Zealand-based property and asset management company to identify a highly organised and proactive Property & Construction Project Administrator to support a busy project services team.
This role provides essential coordination across project delivery, documentation, financial administration, and team operations across commercial, retail and some residential assets.
You will play a key role in ensuring projects run smoothly by maintaining accurate records, supporting communication, and helping track project performance, allowing project leaders to focus on delivery and outcomes.
Key responsibilities
- Traffic Management: Monitoring and prioritising incoming communications across email, web, and voice platforms
- Maintain organised project documentation, records, and registers (risks, issues, actions)
- Coordinate meetings, prepare agendas, and produce accurate minutes and communications
- Provide financial administration support including invoicing, expense tracking, and project claims
- Support scheduling, progress tracking, and reporting across multiple projects
- Assist with systems, workflows, and day-to-day team coordination
Experience
- Proven experience in office or project administration
- Basic understanding of accounts processes, preferably experience in using Xero
- Outstanding organisational and time management skills with an understanding of work and project flow
- High attention to detail and accuracy
- Excellent written and verbal communication skills
- Exposure to property or construction is desirable
- Experience taking minutes or transcribing meetings, ideally PCG and Body Corp meetings
- Strong Microsoft Office skills (Word and Excel)
- Confident using systems and contemporary digital tools e.g. intermediate capability in use of Ai tools & platforms
