About the team

Grid Delivery at Transpower is responsible for ensuring our grid assets continue to deliver electricity to New Zealand. Grid Delivery oversees lines and substation operations and maintenance nationally and collaborates widely across Transpower and with our contracted Service Providers, to ensure we maximise efficiencies from our assets and projects.

About the opportunity

This is your chance to provide a professional, highly effective administration/coordination service to a busy Regional Services Manager and their team, and as required to the wider Regional Delivery team.

In this role you will oversee office support services to our Ōtara Auckland office, and work in partnership with our Office Coordinator together engaging with over 125 amazing humans from engineers to project managers, control room operators, people leaders, data gurus, and more.

By anticipating and actioning administrative/coordination requirements of the Regional Services team, and the Auckland Office needs seamlessly, you will ensure

  • The Regional Services Manager can implicitly and confidently rely on the administrative services provided
  • The admin/coordination service provided is highly regarded, proactive, cost effective, and benefits the whole team and Grid Delivery division
  • Communication and expectation management are timely and engaging
  • Where possible, manual processes are automated or streamlined for maximum efficiency

As the friendly face of our Auckland office, you will chair the social committee and contribute to the overall experience of employees and visitors to our office. Your ideas to make the office environment and office vibe even better are welcome!

This is a varied, high visibility role, in a busy operational environment, so we are looking for someone with flexible approach who is happy working in our Ōtara office, five days a week from 8.30-4.30pm.

What will you bring?

You have a friendly, pro-active, and flexible approach. Fast to learn, positive and solution focused ideally your previous experience will be as an Office Manager or Office Lead, or you may even come from a role requiring Project Administration/Coordination.

Building and maintaining relationships with primary internal and external customers, working through a myriad of regular and as required tasks you'll be tech savvy, as in this role you ultimately work to become a super user of the office systems, including Microsoft 365, financial (FMIS), and travel systems, to name just a few. You will also be a member of the Auckland Office Health and Safety committee.

Your CV and cover letter will demonstrate:

  • Experience as an Office Lead/Manager or similar in a large office/corporate, with astute expectation management skills and good attention to detail
  • Demonstrated ability to provide administration and coordination support to a busy senior manager and their teams
  • Excellent verbal and written communication skills, including the ability and confidence to intermittently present to larger groups e.g. office inductions and weekly office meetings/standups
  • The ability to generate and adapt, purchase or works orders, and enter invoices (these then go to our accounts payable team to be processed)
  • Demonstrable ability to lead coordination and administration activities and prioritise and manage time effectively
  • A full clean New Zealand drivers licence

Experience with other systems - travel booking, financial, SharePoint would be advantageous.
