As an Executive Assistant, you'll be at the heart of our operations, supporting members of our Executive Leadership Team. This role is all about making things run smoothly and efficiently while having fun along the way!
Imagine being the go-to person for our Executives, anticipating their needs, and ensuring their days are perfectly organized. You'll have the opportunity to manage dynamic schedules and set up meetings, all while fostering a positive and collaborative environment.
This position is all about trust and partnership with the Executives, understanding the business needs, and creating a positive impact in all areas of responsibility.
Please note, this is a full-time, permanent vacancy. Your hours of work will be Monday-Friday, 37.5 hours per week. This role is based at our beautiful 6 Green Star building at 136 Fanshawe, Auckland
Your exciting responsibilities include:
- Anticipating the needs of the Executives and the broader business unit, and proactively communicating and contributing.
- Managing calendars swiftly in a dynamic, fast-paced environment.
- Arranging travel and meetings, including setting up virtual meetings.
- Handling procurement, expense approvals, employee data, reporting, and onboarding/offboarding employees, partnering with stakeholders as needed.
- Providing systems support and training, promoting the use of Office 365 to drive efficiency and collaboration.
- Creating high-quality reports, templates, and presentations that are visually engaging and brand-compliant.
- Exercising judgment and maintaining professionalism when working with confidential and sensitive information.
What you'll need:
- Proven experience supporting high-level executives.
- A strategic mindset and exceptional organizational skills.
- A commitment to confidentiality.
- Ability to understand business priorities to support Executives and ensure time is spent efficiently.
- Strong skills in MS Office, Outlook, Word, Excel, PowerPoint, and Visio.
- Flawless execution and ownership.
- Excellent communication skills, with the ability to take initiative and build productive relationships.
- Proven ability to use initiative and implement workflow and system improvements.
- Ability to move quickly and make decisions without sacrificing attention to detail.

Remuneration for this role is from $80,000.00 to $110,000.00. Application along this scale is based on relevant skills and experience.
