Job Purpose:
To provide administrative and coordination support for construction projects, ensuring effective documentation, stakeholder communication, procurement tracking, and compliance support. The role plays a key part in supporting project delivery on time, within scope, and aligned with health and safety requirements.
Key Tasks and Responsibilities:
- Prepare, update and distribute project documentation including contracts, plans, and reports
- Coordinate project schedules, meetings, site visits, and inspections with internal and external parties
- Monitor timelines and milestones using project management tools (e.g. Gantt charts)
- Manage document control systems, both digital and physical
- Raise purchase orders and track supplier deliveries and subcontractor services
- Assist with budgeting tasks including invoice processing, claim preparation, and reconciliation
- Maintain accurate financial records related to project costs and wage tracking
- Support compliance with health and safety procedures by managing induction records, site audits, and incident reports
- Act as liaison between project teams, suppliers, and clients for communication and status updates
- Prepare minutes, formal letters, and internal communication updates as required
- Provide general administrative support including maintaining filing systems and onboarding packs for new staff
- Support HR administration related to project teams where required
Skills and Experience Required:
- Minimum 3 years of experience in a construction or project-based environment or relevant qualifications.
- Strong organisational and time management skills
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and project management tools
- Familiarity with construction terminology and processes preferred
- Excellent written and verbal communication skills
- Ability to work under pressure and prioritise multiple tasks
- Understanding of basic budgeting and procurement processes
Qualifications Preferred:
- Relevant qualification in Construction, Project Management, or a related field
- First Aid and Site Safe (or willingness to obtain)
