Are you highly organised, calm under pressure, enjoy a fast-paced environment and love keeping things on track? This fantastic role is right at the heart of the action, reporting to the CEO and supporting our ELT of 4. The role is based in Parnell, Auckland and is also responsible for making sure our-day to-day office operations run seamlessly and our Auckland team have what they need to succeed.
This is a critical role and key to keeping the wheels turning. A high level of integrity is an absolute must, as you will be exposed to information that you’ll be required to treat with sensitivity. Your priority will be ensuring the ELT have what they need, including things like; diary management, expenses, travel management, board report preparation and minutes and assisting with client partnerships.
Ideally you'll need previous experience as a PA/EA in a medium to large sized organisation. You're happy to get stuck in and do whatever is required – from making sure we have coffee beans in the office to other adhoc tasks like booking a dinner reservation!

Key responsibilities:
- Executive support: leadership meeting management, diary management, Board meeting and minutes, expenses, travel management (including outside the ELT on occasion) and responding to ELT and wider leadership queries promptly.
- Office Management: Meeting and greeting visitors with a warm ZIWI welcome, managing office supplies and consumables, managing office maintenance contractors, onboarding and inductions (in partnership with People and Culture), supporting internal communications and making sure the ZIWI team have what they need to be at their best.
- Proven experience working as an EA to senior executives (3+ years preferred).
- Exceptional communication skills
- Strength in multi-tasking, coping with various demands of a fast paced and reactive business
- Energetic, approachable, dedicated to getting results, but enjoy having fun along the way.
- Strong PowerPoint skills – you will be required to help the ELT prepare presentations
- A can-do attitude and a great problem solver who remains calm when faced with issues or challenges.
- Proficiency in Microsoft Office and confidence with digital systems.
