As the Clinical Administrator, you will play a pivotal role in the smooth running of our clinical services. Working closely with our Hospice staff and community whanau, ensuring our systems are organised, records are accurate and communication flows efficiently – enabling the team to focus on what matters most: caring for our patients and their whånau.

As the Clinical Administrator, you will play a pivotal role in the smooth running of our clinical services. Working closely with our Hospice staff and community whanau, ensuring our systems are organised, records are accurate and communication flows efficiently – enabling the team to focus on what matters most: caring for our patients and their whånau.
Key responsibilities of the role include:
- Provide administrative and reception support to the clinical team and Office Administrator
- Maintain accurate patient records using the PalCare system (super user and trainer role)
- Input referrals, scan and upload documents, and keep registers up to date
- Produce clinical reports and data for internal use and Ministry of Health reporting
- Compile and circulate meeting agendas and minutes (clinical and quality meetings)
- Manage and maintain consumables, medical equipment, and hospice vehicles
- Assist with bereavement support tasks, including records, memorials, and follow-ups
- Coordinate and support clinical education sessions and maintain training records
- Provide basic IT support to the clinical team for devices and systems
- Contribute to health & safety and uphold a safe working environment
- Support inclusive care by reflecting Māori health values and practices
Successful candidate requirements:
- Previous experience in a healthcare or clinical administration setting
- Proficiency in Microsoft Office and electronic patient management systems
- Excellent written and verbal communication skills
- The ability to handle sensitive information with discretion and empathy
- A flexible, proactive and collaborative work style
