We are seeking a motivated and suitable candidate as Assistant to the Operations Director to assist and support the operations of our proposed hotel development project and hospitality assets in Queenstown. The Assistant to the Operations Director provides high-level administrative and organisational support to ensure the smooth operation of the executive’s professional and personal responsibilities. This role serves as a key liaison, managing critical tasks with efficiency, discretion, and professionalism to support the Operations Director’s objectives.
Key Responsibilities:
- Serves as a delegate or proxy for the Operations Director, acting on their behalf in communications and decisions as instructed.
- Does calendars and schedule management for the Operations Director, proactively managing his schedule, including arranging appointments, meetings, and travel itineraries and logistics.
- Coordinates meetings, takes minutes, prepares agenda, and assists the Operations Director in tracking actionable items to ensure timely follow-through of tasks.
- Supports the Operations Director by serving as the primary point of contact for internal and external stakeholders, screening and prioritising communication (e-mails, calls, and letters), as well as drafting professional correspondence on behalf of the Operations Director.

- Collaborates with the Operations Director on a daily basis and may assist with personal tasks as necessary.
Additional Responsibilities:
- Assist in the development, implementation, and monitoring of the organisation’s financial strategies, policies, and accounting systems, ensuring accuracy, efficiency, and alignment with operational and strategic objectives, always under instructions of the Operations Director.
- Collaborate with senior management to create and evaluate budgetary and accounting plans to support business performance and long-term financial health.
- Analyse financial data to deliver critical insights on business performance, funding needs, and investment strategies, including capital structuring and earnings distribution.
- Support the preparation of comprehensive financial reports, such as income statements, balance sheets, earnings forecasts, and long-range profit projections, to inform executive decision-making and strategic planning.
- Maintain full compliance with financial legislation and accounting standards, overseeing the integrity and transparency of all financial operations. Ensure robust systems and processes are in place to support accurate financial reporting and resource allocation.
- Leverage front-line experience in hotel operations to support the Operations Director in enhancing financial coordination, incorporating direct expertise in managing accounts receivable/payable, overseeing group event billing, and aligning guest services with financial reporting tools.
- Integrate multilingual communication skills and international exposure to support strategic financial planning and stakeholder engagement across culturally diverse teams, including liaison with overseas guests, internal departments, and external vendors.
Skills, Experience, and Qualifications
- A bachelor’s degree or higher in Tourism, Hospitality Management, Finance, or a related field; OR at least 3 years of relevant work experience.
- Strong written and verbal communication skills, with attention to detail in drafting correspondence.
- Proven experience in similar roles, with preference to experience within the Hospitality and Tourism Industry, supporting senior leadership.
- Exceptional organisational and time-management skills with the ability to prioritise competing demands.
- Multilingual ability is advantageous for liaising with international stakeholders.
