Key Responsibilities

As an Accounts Administrator based in Hobsonville, you will become an integral member of a small but highly collaborative Auckland finance team. Your day-to-day responsibilities will centre around managing transactional finance processes for both management and asset holding companies within a large national network.

  • Process accounts payable transactions for both Head Office and asset holding entities, ensuring all invoices are accurately coded and paid within agreed timeframes.
  • Complete regular bank account and credit card reconciliations to maintain accurate financial records and promptly identify discrepancies.
  • Compile group-wide payment batches by gathering information from multiple branches, ensuring all necessary approvals are obtained before loading payments into the banking system.
  • Raise and issue purchase order numbers in accordance with established authority limits, supporting robust internal controls across the organisation.
  • Prepare detailed debtor reports on a regular basis, collaborating with branch administrators to ensure timely follow-up on overdue accounts and effective credit control measures.
  • Manage the escalation of overdue debts by liaising with external collection agencies when required, while also supporting ongoing improvements in the collections process alongside the Finance Manager.
  • Maintain comprehensive records and documentation related to all finance activities, ensuring data integrity and compliance with company policies.
  • Provide administrative support for finance-related reporting tasks, assisting with month-end processes and ad hoc projects as needed.
  • Liaise regularly with branch administrators nationwide to promote consistency in financial procedures, offering guidance or training where appropriate to support their development.
  • Assist with general office duties as required by the finance team, including supporting onboarding and integration of new branch administrators into the wider network.

Key Requirements

To excel as an Accounts Administrator in this environment, you will bring proven experience from previous roles involving accounts administration or finance support. You will also bring;

  • Proficiency using Xero accounting software combined with strong Microsoft Excel skills enables you to handle complex data sets confidently.
  • Exceptional attention to detail ensures high levels of accuracy when processing transactions or reconciling accounts.
  • Excellent organisational abilities allow you to manage competing deadlines effectively while maintaining quality standards across all tasks undertaken.
  • Clear verbal and written communication skills enable you to collaborate positively with colleagues at all levels - including remote branch staff—and explain financial concepts simply when needed.
  • A positive attitude coupled with adaptability means you can respond constructively to changing priorities or new challenges as they arise within the team environment.
