Position Summary

As a Payroll Solutions Specialist at Admin Army, you will operate as a high-trust, high-autonomy partner to the Payroll Manager, delivering advanced payroll support across a portfolio of clients throughout New Zealand and Australia. This is not a training role. You are expected to hit the ground running, manage complex payroll environments, and contribute to improving our systems, workflows, and service quality. You will be a go-to problem solver, second-level support to the wider payroll team, and key project and workflow planning contributor.

Team Structure

Reporting directly to the Payroll Manager, the Payroll Solutions Specialist supports a growing team of payroll advisors and officers in delivering outstanding results for our clients. This position is vital in liaising and planning with Admin Army's global teams.

Role Responsibilities

  • Manage and deliver end-to-end payroll services for multiple clients with varying complexity, ensuring accuracy and compliance.
  • Act as second-level support for Payroll Officers and Payroll Advisors; step in on escalated client queries and tricky scenarios.
  • Lead, mentor and support other payroll team members to grow their capability, build confidence, and deliver excellent work.
  • In conjunction with the Payroll Manager, train and onboard new payroll team members and clients as required.
  • Own and manage your workflow using our practice management system, maintaining team visibility and structured communication.
  • Provide technical payroll guidance and problem resolution across multiple payroll platforms (e.g., PayHero, Xero Payroll, Employment Hero).
  • Scope and deliver project work such as audits, system transitions, and new client implementations.
  • Partner with the Payroll Manager to develop and refine processes, identify bottlenecks, and ensure scalable growth.
  • Build strong, proactive relationships with clients and internal team members.
  • Stay up to date with NZ payroll legislation and champion compliance best practice.
  • Contribute to the ongoing automation and improvement of payroll systems and processes with a forward-thinking, solution-focused approach.

What This Role Is Not

This is not a training or junior stepping-stone role. This isn't the right fit if you're still building your end-to-end knowledge or prefer to be handed a fixed list of tasks each day. We move fast, switch contexts regularly, and expect you to drive outcomes independently. You need to be comfortable managing your own workflow, adapting to new systems quickly, and contributing to the improvement of the team’s delivery model. If change makes you uncomfortable, this isn’t the environment for you.

Essential

Selection Criteria:

  • Minimum 5 years of end-to-end payroll experience in a multi-client or high-complexity environment.
  • Strong working knowledge of NZ payroll legislation and Holidays Act.
  • Experience using cloud-based payroll platforms (e.g., PayHero, Xero, Employment Hero).
  • Proven ability to manage your own portfolio of work and maintain structured communication.
  • Confident using practice/project management systems to self-manage work and ensure visibility.
  • Experience resolving complex payroll issues and contributing to process improvement.

Advantageous

  • NZPPA Certification (e.g., Certified Payroll Specialist) or commitment to achieving it.
  • Experience in a managed services or BPO environment.
  • Previous exposure to Australian payroll (not essential, but a bonus).
