Madison Recruitment are exclusively recruiting on behalf of our client, a well-established consultancy that delivers governance, operational and membership support to a diverse portfolio of organisations. They work as an embedded extension of their clients’ teams – answering member enquiries, managing meetings and events, maintaining websites and databases, and providing trusted day-to-day operational support. Clients often describe them as the ‘glue’ that holds everything together.
About the role:
As a Client Services & Team Administrator, you’ll play a vital role in delivering reliable, high-quality support to a range of clients. It’s a multi-faceted role that offers variety and autonomy – perfect for someone who thrives in a busy environment and enjoys keeping things running behind the scenes.
You'll be part of a small, collaborative team based in Mairangi Bay, working Monday to Friday (40 hours per week). Once you're established in the role, there's flexibility to work from home two days a week.

What you'll be doing:
- Onboard new members and respond to membership enquiries
- Arrange and coordinate meetings and events
- Prepare and collate meeting agendas, papers and documentation
- Take minutes and manage follow-up actions from client meetings
- Manage client databases and maintain accurate records
- Maintain and update website content and client communications
- Format documents, reports and presentations (Word, PowerPoint)
- Manage travel bookings and itineraries for clients and team members
- Provide general administrative support across the team
About you:
- At least 4 years’ experience in a busy admin or coordination role
- Exceptionally organised, efficient, and process-driven
- Confident communicator – both written and verbal
- Tech-savvy and comfortable picking up new systems
- Able to juggle competing priorities while maintaining attention to detail
- Friendly, professional and comfortable supporting a range of clients
