Ishant Enterprises Limited is a well-established horticulture company based in the Bay of Plenty, currently seeking a Personal Assistant to join our busy team. Coordinate & Manage the Director’s correspondence, including emails and letters, particularly regarding client contracts and service updates. Support the Director with project management tasks, including overseeing the roll-out of new orchard management services or operational improvements. Coordinate travel and accommodation arrangements for the Director when visiting client sites or attending industry events

Position: Personal Assistant

Location: Tauranga

Hours: The position is full-time and at least 30 hours of work is guaranteed per week, additional hours up to 40 per week may be available on occasion

Wage: $32 per hour


Duties and Responsibilities:


  • Provide administrative support to the Director and act as a liaison between the Director and clients, suppliers, and team members.
  • Assist the Director with drafting and editing business correspondence, including emails, reports, service proposals, and quotes tailored to client needs.
  • Coordinate with the Director and others to arrange meetings and appointments, ensuring calendars and schedules are managed effectively.
  • Screen the Director’s calls, prioritising client and operational enquiries to ensure smooth service delivery.
  • Prepare agendas, briefings, and operational reports for meetings, particularly those related to service delivery and client account reviews.
  • Take minutes during meetings, follow up on action points, and monitor progress to ensure commitments are met.
  • Manage the Director’s correspondence, including emails and letters, particularly regarding client contracts and service updates.
  • Respond to inquiries and requests for information, ensuring a professional and timely response to clients and team members.
  • Organise and maintain company records, including client files, contracts, and service logs, both physical and electronic.
  • Maintain and update contact lists and the client database to ensure accurate and current records.
  • Handle confidential and sensitive information, such as client contracts and business proposals, with utmost discretion.
  • Support the Director with project management tasks, including overseeing the roll-out of new orchard management services or operational improvements.
  • Coordinate travel and accommodation arrangements for the Director when visiting client sites or attending industry events.
  • Ensure the office is well-organised and maintained.
  • Assist with other tasks related to client services, business development, and operational support as needed.

Requirements:

  • At least 3 years’ experience as a Personal Assistant or a relevant tertiary qualification. (NZ or overseas).
  • Good communication skills.
  • Solid understanding of administration processes in small-to-medium-sized businesses (knowledge will be tested at interview).
  • Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook).
  • Willingness to work on weekends and evenings as many of our clients are only available outside normal business hours.
  • Strong organisational and time management skills (insight will be tested at interview)
