Our client is seeking a highly organised and dependable Office Manager to join their team in Christchurch. What You'll Do

As an Office Manager and HR Coordinator, you will play a pivotal role in managing the office operations of this organisation. Your responsibilities will extend beyond traditional office management duties into coordinating essential HR tasks. You will be entrusted with processing a weekly payroll of 8-10 salaried employees; handling sensitive information such as HR records and ensuring training registers are up-to-date and relevant.

Your role will also focus on producing invoices for accounts receivable with an oversight and reconciliation of accounts payable. Your role will ensure all health and safety policies are up-to-date and comply with New Zealand law. You will work closely with the operations manager and managing director – providing personal support as required.

Tasks Include, But Are Not Limited To

  • Coordinate payroll activities using Xero, including processing timesheets, allowances, leave requests, tracking recorded hours, maintaining accurate HR records, generating reports and filing PAYE.
  • Manage the accounts receivable process with an oversight and reconciliation of accounts payable.
  • Responsible for IR Filing and GST through Xero and IRD portal.
  • Provide administration support to the recruitment process, create letters of offer; on-boarding and off-boarding.
  • Handle any employee enquiries and provide general HR-related support to employees and management.

What You Bring

The ideal candidate for this Office Manager and HR Coordinator role brings a wealth of experience in both office management and ideally payroll/ human resources coordination. Your background could be something similar, with experience working with job costings. Proven experience with payroll systems like Xero and knowledge around New Zealand employment law is ideal. Your ability to handle sensitive employee and company information with discretion is essential.

You are highly organised, proactive and capable of managing multiple tasks and tight deadlines. You have strong interpersonal and communication skills to enable you to communicate priorities, take accountability and handle employee enquiries effectively. Additionally, your experience in managing accounts payable and accounts receivable will be crucial in this role.

  • Proven experience in office management or similar roles.
  • Experience with payroll systems like Xero is desirable.
  • Knowledge of NZ Employment Relations Act 2000, Holidays Act (2003), Health and Safety Work Act 2015 is ideal.
  • Ability to handle company information with discretion is essential.
  • Experience in people management including recruitment process, onboarding and offboarding and disciplinary processes.
  • Experience in managing accounts payable and receivable is crucial. The accounts receivable process is reasonably complex so knowledge of using Excel is essential.
